Enter your access code
Whoever hired you will have given you a code. Enter it to open your onboarding paperwork.
Don’t have a code? If Kleinberg Electric has hired you, ask for your own link here — somebody at the office will check and email it to you. Or email hr@kleinbergelectric.net.
Link problem
This link can’t be opened
Your onboarding paperwork is only available through a personal link sent to you by the Kleinberg Electric office. Links work once, and expire.

Before you start
Welcome to Kleinberg Electric
Your whole onboarding packet, from one set of questions. Type your name, address and Social Security number once instead of on every form. It takes about 15 minutes.
What happens to your information. Your answers stay in your own browser while you work. Only at the very end, when you press Submit, is the finished packet sent to the Kleinberg Electric office over an encrypted connection. It is stored encrypted, and only office staff with their own login can open it.
You’ll be able to download your own copy on the last screen. Save it — it’s your record.
Have these handy:
- Your Social Security number
- Your bank’s routing and account numbers, plus a voided check (or bank document), for direct deposit
- Your union card number and local, if you’re a member
- Your I-9 identity documents — passport, or driver’s license and Social Security card. See the full list
One thing still has to happen in person. Federal law requires an authorized Kleinberg representative to physically examine your original I-9 documents. You fill in the details here; someone checks them against the originals and signs for it. Bring your documents with you.
Step 1 of 10
Your personal information
This flows onto every form in your packet. Use your full legal name exactly as it appears on your Social Security card.
Required on the I-9 if you’ve used another last name.
Step 2 of 10
Job and emergency contact
If you’re unsure of your exact title or start date, give your best answer — the office will confirm it.
The figure you were offered. The office will confirm it.
Biographical information
As a contractor on public projects, Kleinberg Electric reports workforce demographics in aggregate for equal-opportunity purposes. Your answer has no bearing on your job, your pay or how you are treated.

Step 3 of 10
Union membership
Kleinberg Electric works with Local 3 IBEW. If you’re not a member, choose “No” — the union forms are still included in your packet, left blank for the office.
Step 4 of 10 · Form I-9
Employment eligibility
This is Section 1 of USCIS Form I-9. Federal law requires it on or before your first day of work.
You choose which documents to show. See the official list of acceptable documents — one from List A, or one from List B plus one from List C. Kleinberg Electric cannot tell you which documents to present, or ask for anything beyond what the I-9 requires. Treating employees differently based on citizenship or national origin is illegal.
I attest, under penalty of perjury, that I am: *
Provide one of the following: *
I am aware that federal law provides for imprisonment and/or fines for false statements, or the use of false documents, in connection with the completion of this form.
Your identity documents
Section 2 of the I-9 is completed by Kleinberg Electric, not by you — somebody has to look at your original documents in person and sign for having seen them. Typing the details here now just saves them copying from your documents while you wait.
Bring the originals either way. Photocopies and photos are not accepted for this. See what counts.
List B — proves who you are
List C — proves you may work
Step 5 of 10 · IRS Form W-4
Federal tax withholding
This tells us how much federal income tax to hold back from each paycheck. If you’re not sure, the simplest correct answer is to pick your filing status and leave the rest blank.
Filing status *
Steps 2–4 are optional. Skip them unless one applies to you. The IRS estimator at irs.gov/W4App gives the most accurate numbers.
Step 3: Dependents — only if your total income will be $200,000 or less ($400,000 if married filing jointly)
Counted at $2,200 each.
Counted at $500 each.
Step 4: Other adjustments (optional)
Interest, dividends, retirement income.
Under penalties of perjury, I declare that this certificate, to the best of my knowledge and belief, is true, correct and complete.
Step 6 of 10 · Form IT-2104
New York State tax withholding
New York’s version of the W-4. It also covers New York City and Yonkers tax.
Filing status *
If you’re married but legally separated, choose “Single or head of household.”
Are you a resident of New York City? Includes the Bronx, Brooklyn, Manhattan, Queens and Staten Island. *
Are you a resident of Yonkers? *
Allowances. If you’re single with one job and no dependents, enter 0 on both lines — that’s what New York recommends. Anything more complicated uses the worksheet in the IT-2104 instructions at tax.ny.gov.
Enter 0 if you’re not a NYC resident.
A penalty of $500 may be imposed for any false statement you make that decreases the amount of money withheld from your wages. You may also be subject to criminal penalties.
Step 7 of 10 · ACH Direct Deposit
How you get paid
You must attach a voided check, or a bank document showing your routing and account numbers. Many banks no longer issue chequebooks — a bank letter, or a statement showing both numbers, works just as well.
On a phone, this offers your camera — photograph the check where it sits. JPEG, PNG, HEIC or PDF, up to 10 MB.
The leftmost 9-digit number on the bottom of your check.
Step 8 of 10 · Deferred Salary Plan
Retirement savings
The Deferred Salary Plan is run by the Joint Industry Board of the Electrical Industry. You can change this later at any time.
Local 3 members contribute at least 1%. That minimum is set by the union, not by Kleinberg Electric. Enter 1 or more — you can put in more than the minimum, and you can change it whenever you like.
Contributions continue until you increase, decrease or stop them. The combined limit on Roth and before-tax contributions is 100% of your eligible compensation or the IRS limit, whichever is less. Amounts are subject to adjustment under IRS regulations.
Step 9 of 10 · Employee Certification
Company policies
By signing the Employee Certification you confirm you’ve received and read a copy of each policy below. Every one of them opens here — read, download or print any of them, now or later.
- Kleinberg Electric, Inc. D/M/WBE Policy
- Contractor and Subcontractor Disclosure Obligations Under Public Authorities Law 1269-G (Reporting of Fraud and Protections for Reporting Fraud)
- Equal Employment Opportunity Policy
- Statement of Non-Discrimination
- Policy Against Sexual Harassment
- Alcohol & Drug Policy
- Absenteeism and Tardiness Policy
- Safety — three documents: KEI Safety and Loss Prevention Program, Electrical Contractor Safety Program (NECA), and Portable Ladder Safety
- Codes of ethics — two documents: Port Authority Vendors (PANY&NJ) and Vendor Code of Ethics (MTA)
- Distracted Driving Policy
Each one opens in a new tab. Nothing you do here is lost.
Payroll deduction authorization
This authorizes Kleinberg Electric to withhold and remit to the Joint Industry Board of the Electrical Industry, or another authorized entity, the amounts that apply to you: Deferred Salary Plan contributions and loan repayments; Educational and Cultural Trust Fund student loan repayments; Local Union No. 3 IBEW working assessments; Elektra Federal Credit Union amounts; COPE; Electrical Workers Death Benefit Society dues; NY Paid Family Leave; and other voluntary deductions allowed under the collective bargaining agreement.
This authorization stays in effect while you are employed, until you revoke it in writing to both your employer and Local Union No. 3.
Step 10 of 10
Sign your packet
Sign once. Your signature is applied to every form in the packet, exactly as if you had signed each page by hand.
This must match the name you entered in Step 1.
Draw your signature * — use your finger on a phone or tablet, or your mouse on a computer.
By signing you certify that everything you entered is true and complete to the best of your knowledge, and you adopt this signature on every form in this packet.

Review before you submit
Check everything below. When it looks right, submit it to the Kleinberg Electric office.
Your paperwork is submitted
You’re not quite finished. Bring your original I-9 identity documents to the Kleinberg Electric office. An authorized representative must examine them in person and sign Section 2 within three business days of your first day.
Keep your downloaded copy somewhere safe. It contains your Social Security number and, if you set up direct deposit, your bank details.
